Dear Colleague

Payment of fees

The HFEA wishes to ensure that the fees to which it is due are collected promptly and efficiently - thereby avoiding wasting both clinic and Authority resources. So, I write to remind you of Condition T9(d) of your licence, which requires your centre's PR to be responsible for ensuring that fees due are paid within the timescale/s set within Directions or in writing.

By this letter, I wish to inform you that the HFEA requires payment of fees for treatment cycles no later than 28 days from the date on the Authority's invoice.

Failure to comply with this timescale is a breach of the condition of your licence and may be referred to a Licence Committee in accordance with our Compliance and Enforcement Policy.

Please note that fees in respect of licence applications must be paid with the application in accordance with General Direction 0008, which was sent to you with Chair's Letter CH(10)03.

The HFEA has a process for chasing outstanding payments and thereafter may take legal action to recover any remaining unpaid fees. We trust you and your finance colleagues will work with us to make the process operate as well as possible for all concerned.

We suggest copying this to your finance colleagues, especially those clinics without direct organisational control over their payments. For further information or help, please contact the HFEA finance team at finance@hfea.gov.uk or call
020 7291 8296/8297/8945.

Yours faithfully

Professor Lisa Jardine CBE
Chair - Human Fertilisation and Embryology Authority
